Policy & procedure manuals
Policies and procedures that pass the survey.
Custom policy and procedure manuals and plans for behavioral health and substance use treatment programs, written to your state’s licensing rules and your accreditor’s standards, and to the way your program actually runs.
Why custom
A template is not a policy.
Surveyors and state inspectors compare your written policies with what they see in your records and hear from your staff. A purchased template describes someone else’s program, and the gaps show.
Talk about your manual- 01
Written to the rules that apply to you
We crosswalk each policy to your state’s licensing rules and to the CARF or Joint Commission standards for your programs, so every requirement has a home.
- 02
Written to your operations
We interview your leadership and staff and write what you actually do, or help you decide what you should do, before it goes on paper.
- 03
Current with the standards
Standards change. CARF ties each manual to a July-to-June survey year, and its 2026 manuals added a first standard on artificial intelligence that calls for written policies.
- 04
Built to be used
Forms, handbooks and staff training that put the policies into practice, so your records show the procedures being followed.
What we write
The manual, the plans and the paperwork.
Scoped to your programs, levels of care and accreditor. A typical engagement covers most of the following.
Policy & procedure manual
Governance and leadership, rights of persons served, intake and assessment, treatment planning, discharge, records, medication, infection control, emergencies and human resources.
Required plans
Quality, outcomes and performance improvement; accessibility; technology; risk management; health and safety; corporate compliance; and strategic planning.
Forms & handbooks
Assessment, satisfaction and survey instruments, persons-served handbooks, orientation materials and personnel file checklists.
How it works
From gap analysis to a manual your staff know.
Review
We read your current policies, forms and records and map them against the rules and standards that apply.
Interview
Short sessions with leadership and key staff to capture how services actually run.
Write
Policies, procedures and plans drafted for your review, with each requirement cross-referenced.
Train
Staff walk-throughs so the people surveyors interview can explain the procedures in their own words.
Maintain
Updates when your state rules or the standards change, as part of continuing compliance.
Questions
Policy manuals, answered.
Send us what you have. We will tell you what can stay, what needs work and what is missing.
Book a free consultationCan you update our existing manual instead of starting over?
Yes. Many engagements start with a gap analysis of the manual you already have. We keep what works, fix what does not match the rules or your practice, and add what is missing.
Do you write policies for CARF and The Joint Commission?
Yes, for both, and for state licensing rules. Policies are one part of full readiness work for CARF and The Joint Commission, or a standalone project when the rest is in hand.
Do you copy text from the standards manuals?
No. The CARF and Joint Commission manuals are the accreditors’ copyrighted work. We write original policies that meet the standards, in plain language your staff can follow.
How long does a manual take?
It depends on how many programs and levels of care you run and how much already exists. We give you a schedule after the initial review, timed to your license application or survey date.
